Create surveys

The Survey template process is a configuration user interface that you use to create a new survey template.

The outcome of completing the New survey template process is the creation of a new survey process template.

About administration of surveys

Survey administrators can administer and monitor a running survey in the Omada Identity Portal. By default, a system administrator can initiate and assign surveys. Depending on how your organization has set up its security settings, members of the Operations administrator group can also administrate surveys. Survey administrators can:

  • Launch a survey and set the scope.
  • Inspect questions assigned to a specific user.
  • Reassign individual questions to another user.
  • View reports if these are enabled in the system.
  • Close a survey.

Survey process

The survey template user interface supports the use of custom JavaScript files for forms used in the workflow steps. This removes the extra step of manually adding custom JavaScript files after publishing a survey template.

Custom scripts added to the survey forms (through the New survey template process) are also applied to the form data object. Those scripts can also be visible in the form objects itself, not only in the survey template definition.

The survey process template always has the activities Initiate and Verify, as well as the control elements Split and Join. The workflow steps defined for the survey are placed between the Split and Join elements. These activities are defined as Survey Activity.

The names of transitions and the Initiate and Verify activities are not editable in the survey template definition. They can be edited for the published process template if needed.

The Survey template configuration user interface has seven tabs that you need to fill in before your survey template is ready for publishing.

These tabs are:

  • General tab
  • Survey object
  • Data sources
  • Workflow
  • Forms
  • Grids
  • Post actions

After that, you need to review and confirm your survey template configuration in the eighth Finalize step before publishing the template.

You do not have to fill in the tabs in any order, as it is possible to freely move between the tabs. Click Apply at any time to save the survey template to be able to return to it. Changes will be lost if you click cancel or leave the process otherwise.

To start a new survey go to Setup > Administration > More > All services and click New survey template.

Alternatively, go to Setup > Administration > Data Management > Survey Templates. Click the New button to start the New survey template process.

There are parts of an existing survey template that you should not change:

  • You cannot change the number of the workflow steps and the names of the steps.
  • You cannot change the titles and descriptions of workflow steps. Instead, you can change the names and descriptions of the corresponding activities in the generated process templates.
  • You also cannot change the names and descriptions of the survey templates. Instead, you can change the name and description on the generated process template.
  • You cannot edit or reassign activities within a survey process instance that is already running. However, you can reassign survey questions to other users through reassignment views or through the survey admin form.

However, there are parts that you can modify:

  • It is possible to change the assignee expressions for the workflow steps in the survey template configuration.
  • You can change the name and description of the process object, as well as the activity objects.
  • You can change the names of the transitions.
  • You can adjust labels, and so on, in the activity forms.
  • You can change the icon of the template target object (that is, the icon on the process launch page)
